In a salon, spa or barbershop, the most expensive customer is not the one who asks for a discount. It is the one who books and does not show up. That hour cannot be sold again, and your team is paid anyway. Most no-shows are not bad faith: the customer forgot, something came up and it felt awkward to cancel, or they booked “just in case”. That is why the fix is not scolding anyone, but three simple things: automatic reminders, a clear deposit policy for the cases that need it, and a Online booking systemAn online calendar where customers pick a service, day and time without messaging you. It stores their phone number and can send automatic reminders. that makes rescheduling easier than not showing up.
What an empty chair costs
A round-number example: if a colour service costs 800 pesos and you get three no-shows a week, that is 2,400 pesos a week and around 10,000 pesos a month you do not charge. Add the time of the stylist who was waiting and the customer you turned away because that slot looked taken.
Most salons do not measure it, so it feels like “it happens sometimes”. The first step is to write down every week how many appointments did not show up. With that number you will know whether this problem deserves your attention before others.
Reminders work, and the evidence shows it
The best evidence comes from healthcare, where missed appointments have been studied for years. A Cochrane review published in 2013, with eight trials and 6,615 participants, found that text message reminders increased attendance compared with no reminder (risk ratio 1.14), and that they worked about as well as a phone call (risk ratio 0.99), which costs far more time. The mechanism is the same in a salon: many people simply forget.
What works best in practice is two reminders: one the day before and one a few hours before, each with a simple way to confirm or reschedule. The problem is doing it by hand: on the busiest days, which are exactly when you most need them, nobody has time to send them. A Online booking systemAn online calendar where customers pick a service, day and time without messaging you. It stores their phone number and can send automatic reminders. sends them on its own. We cover other tasks worth automating in what to automate in your business.
When to ask for a deposit
Asking every customer for a deposit can scare away the loyal ones who have come for years. It makes sense in three cases: new customers, long or expensive services (colour, extensions, a full spa package) and customers who have already missed before. The deposit is applied to the service, so for whoever shows up it costs nothing extra.
The rule has to be written and visible before booking: how much, until when they can cancel without losing it, and what happens if they arrive late. A clear policy avoids the awkward conversation at the reception desk.
Make cancelling easy (yes, really)
It sounds backwards, but it works: if cancelling means calling and explaining yourself, many people prefer not to show up. If the reminder includes a button to change the time, they use it, and you get the slot back hours in advance instead of discovering it with an empty chair.
Pair that with a waiting list: customers who wanted a time that was full get a message when it frees up. An early cancellation stops being a loss and becomes an appointment for someone else.
Your calendar cannot live in WhatsApp
Running appointments from chat means answering “do you have anything on Friday?” at 11 p.m., double-booking two customers at the same time and depending on whoever holds the phone. An online booking system lets the customer choose service, stylist, day and time by themselves, at any hour, and keeps their history: what they had done, when, and whether they missed. That history is a basic CRMA system where you keep your customers and prospects with their history of messages, appointments and purchases, so you can follow up without relying on memory or a notebook.Read more →.

How to measure it
Your number is the no-show rate: appointments that did not show up divided by appointments booked, every week. Write it down before changing anything, turn on reminders, and compare after a month. If it falls, you already know how much money it is worth.

Frequently asked questions
Yes. The best evidence comes from healthcare: a 2013 Cochrane review with 6,615 participants found that text message reminders increase attendance compared with sending nothing, and that they work about as well as a phone call. In a salon the mechanism is the same: many people forget.
Two are usually enough: one the day before and one a few hours before the appointment. Each should include a simple way to confirm or change the time, so you get the slot back if the person cannot come.
No, if you use it where it makes sense: new customers, long or expensive services and customers who have missed before. The deposit is applied to the service and the policy should be written before booking. You can skip it for regulars who always show up.
In the studies, a text message worked about as well as a phone call, and it takes far less time. Ideally the message goes out automatically from your booking system, so it does not depend on someone remembering to send it.
With few appointments, WhatsApp can be enough for a while. As soon as there are several stylists or double bookings, an online booking system saves you hours: customers book on their own at any hour, get automatic reminders, and you keep their history.
