Real Estate Lead Follow-Up: Scripts and Timing

Real estate leads need to be classified the moment they arrive — hot, warm, cold or ghost — because each category requires a different response speed, script and cadence. Treating every lead the same is the single most common reason developments generate plenty of leads but close few sales.

The hot, warm, cold, ghost classification

Hot: asking specific questions about price, availability or scheduling a visit — ready this week. Warm: engaged and responsive but still comparing developments or waiting on financing. Cold: early research, months away from deciding, often just requested general information. Ghost: went completely silent after initial contact. This classification should happen on the first interaction, not after several follow-up attempts.

Hot leads: respond in five minutes, close the visit

The script for a hot lead has one job: get a scheduled visit on the calendar before the conversation ends. Skip the general pitch — they already know what they're interested in. Confirm availability, offer two specific time slots, and follow up by phone if the WhatsApp message isn't answered within fifteen minutes. Every minute of delay here is a minute a competing development has to reach them first. Responding within 5 minutes versus 30 minutes measurably changes contact rates in real estate, the lead's interest is highest in that first window and drops fast after.

Warm and cold leads: nurture without pressure

Warm leads respond well to specific, useful follow-up — new availability, financing options, or an invitation to a low-pressure open house — every five to seven days. Cold leads need a slower cadence: monthly updates on inventory or pricing changes, without a hard sell, because pushing too hard too early is what turns a cold lead into a ghost. The goal with both is staying present until they're ready, not rushing them there.

Recovering ghost leads

Don't delete a ghost lead — move it to a low-frequency, low-pressure sequence: a market update or a price change every few weeks, with no expectation of a reply. A meaningful percentage of ghost leads come back months later when their financial situation or timeline changes, and having stayed minimally present costs almost nothing compared to acquiring a new lead from scratch.

None of this works from a WhatsApp inbox and memory — every lead, its classification, and its next follow-up date needs to live in a CRM that the whole sales team can see. Without it, classification decays within days as new leads arrive and old ones get forgotten.
