The WhatsApp Business API is the paid, programmatic version of WhatsApp for companies. Unlike the free app, it has no interface of its own: it exists so other systems can send and receive messages, which is what makes automation and multiple simultaneous agents possible.
The app and the API are different products
The free WhatsApp Business app runs on a phone, is operated by a person, and is limited to a handful of devices. The APIA connection between two systems so they pass information on their own, for example your website and your CRM, without anyone copying and pasting. has no app: you connect it to software, and that software decides what to send. One is a communication tool for a small team; the other is infrastructure for a system. Confusing them is the most common source of wasted budget in this area.
What the API actually enables
Several people answering the same number without passing a phone around, automatic replies that do not depend on someone being awake, connecting conversations to a CRMA system where you keep your customers and prospects with their history of messages, appointments and purchases, so you can follow up without relying on memory or a notebook.Read more →, and sending notifications like appointment reminders or order updates. None of that is possible on the free app in a reliable way.
How access works
You do not buy it directly from a store. Access goes through a provider that is authorized to resell it, and they handle the technical connection plus billing. That means your real experience of the API depends a lot on which provider you pick, since the underlying service is the same but the tooling around it is not.
How billing generally works
Billing is based on conversations rather than individual messages, and rates differ depending on whether the business or the customer started it. On top of that sits whatever the provider charges for their platform. The practical implication is that costs scale with volume, so a business with heavy traffic should model this before committing.
Templates and the 24-hour window
If the customer wrote first, you can reply freely for a limited window. Outside it, business-initiated messages have to use pre-approved templates. This trips up teams who expect to send whatever they want whenever they want, and it is the rule that shapes most campaign designs on this channel.
When it's worth it and when it isn't
It is worth it when volume exceeds what a person can handle, when several people must answer the same number, or when you need conversations recorded in a CRM. It is not worth it for a business receiving a handful of messages a day that one person answers fine: the app already does that, for free.
It isn't the only channel worth automating
Messaging gets most of the attention in Mexico, but the same underlying need can be served by a chat on your own site, by email, or by a phone line, and those carry no per-conversation fee. The right question is where your customers already write to you, not which channel is fashionable.
Frequently asked questions
No. The WhatsApp Business app is free, but the API is billed per conversation, at rates that vary depending on who started the exchange, plus whatever the provider charges for their platform.
Generally yes, but a number can live either in the app or on the API, not both at once. Migrating means removing it from the app, and that's where it's worth planning carefully so you don't go dark mid-week.
For a bot on WhatsApp, yes. But if what you want is an automated assistant handling your customers, a chat on your own website achieves the same thing with no per-conversation cost and no pre-approved templates.
They're pre-approved messages used when the business starts a conversation outside the free-reply window. They exist to limit spam, and they mean you can't improvise the copy of an outbound campaign.
It varies by provider and how complete your business verification is. What usually delays the process isn't the technical side, it's having the documents that verify the business in order.
